What to Prepare Before Requesting a Custom Packaging Quote

You do not need to have every packaging detail finalized before requesting a quote. However, the more information you can share, the easier it is for a supplier to understand your project and provide a useful estimate.
If you are still at the planning stage, start with the product, estimated quantity, and a reference image. The checklist below explains what else can help you get a clearer custom packaging quote.

1. Product details and dimensions

Start with the product that will go inside the box. Share its name, a photo, and its length, width, and height. If the box will hold several items, list each item and explain how they should be arranged.
For a more accurate box size, measure the product itself rather than estimating from a photo. If the product has an unusual shape or a fragile part, a product sample or clear photos from several angles can help explain the requirements.
You do not need to decide the final box dimensions alone. The supplier will need enough product information to discuss the internal space, insert, and fit.

2. Box style and intended use

If you already have a box style in mind, name it or share a reference image. Examples include folding cartons, rigid boxes, drawer boxes, and mailer boxes. If you are not sure which style to choose, describe how the packaging will be used.
Will it sit on a retail shelf, ship directly to customers, hold a set of products, or be used as a gift box? The intended use helps clarify what the box needs to do, such as display the product, hold it in place, or fit into a shipping process.

3. Estimated quantity and target date

Include the quantity you expect to order. If you are comparing several order sizes, list each quantity so the supplier can quote them separately. The unit price may change with quantity, so a quote based on one amount may not help you compare other options.
Also share your target date for receiving the packaging. If you need samples before mass production, mention that at the beginning. The schedule can depend on the box structure, materials, finishing, sample approval, and shipping arrangement.

4. Material, printing, and finish preferences

If you have material or finish preferences, include them in your inquiry. You can name the paper or board, printing colors, and finishes such as foil stamping, embossing, debossing, or spot UV. Reference photos can help show the appearance you have in mind.
If you have not chosen these details yet, say so. A quote can be prepared around a proposed specification, but the estimate may change if the material or finish changes later. It is useful to separate requirements that must stay from options that can be adjusted.

5. Artwork or reference images

If your artwork is ready, share the print file and any relevant brand guidelines. If it is not ready, you can still begin with a reference image, logo, brand colors, or a short description of the design direction.
An image is useful for discussing the look of the packaging, but it may not contain the measurements or technical details needed for production. A visual reference, including an AI-generated image, should not be treated as a production-ready print file or box template.
If you are sending several references, explain which details you want to keep—for example, the box opening style, color, insert layout, or finish. This helps avoid assumptions during the quote and sample stages.

6. Insert and other packaging requirements

If the box needs an insert, share the product dimensions, the number of items, and how each item should sit inside the box. A photo showing the product arrangement can be helpful. If you already know the insert material, include it; otherwise, describe what the insert needs to do.
You can also mention any supporting printed items, such as labels, cards, or tissue paper, that need to be planned with the box. Listing these requirements together helps keep the quote aligned with the full packaging set.

If you do not have all the details yet

You can still request an initial discussion with a few basic details: what the product is, its approximate size, the quantity you are considering, and one or two reference images. Mark anything that is still undecided. This gives the supplier a clear starting point without presenting an unfinished idea as a final specification.
For a more complete quote, confirm the box style, dimensions, material, printing and finish, insert requirements, quantity, and delivery destination. If you are unsure about a detail, write “open to recommendation” rather than leaving the field blank.

Custom packaging quote checklist

Copy this list when preparing an inquiry:
– Product name, photo, and dimensions
– Box style or reference image
– Estimated quantity
– Material, printing, and finish preferences, if known
– Artwork file, logo, or design references
– Insert requirements and product arrangement
– Target delivery date and destination
Clear information at the inquiry stage helps both sides discuss the same packaging specification. It also makes it easier to review the quote, sample, and final production details.
